Privacy Policy
This policy explains what personal information Silk Call AI collects, why we collect it, how we look after it and the rights you have. We keep it simple and only collect what we need.
Last updated: TBC: date you publish this
1 Who we are
Silk Call AI provides website design and AI receptionist services to businesses. For the personal information described in this policy, we are the data controller.
Business name and address: TBC: your registered business name and address
Contact: silkcall.uk@gmail.com
2 What we collect
When you book a demo or contact us: your name, business name, email address, phone number (if you give it), the service you're interested in and anything you write in your message.
When you become a customer: the details we need to set up and run your services, such as your contact details, business information, the answers your AI receptionist should give, and billing information.
When you browse our website: we don't use analytics or advertising cookies. Like any website, our hosting provider and the services that load our fonts receive basic technical information such as your IP address and browser type so the page can be delivered. See our cookie policy.
3 How we use it and why
- To respond to your enquiry and arrange your demo. We need to do this before you can enter into a contract with us, and it's in our legitimate interests to reply to people who contact us.
- To provide the services you buy. This is needed to perform our contract with you.
- To send you service updates and invoices. This is needed to perform our contract and to meet our legal and accounting obligations.
- To improve our services and keep them secure. This is in our legitimate interests.
We will never sell your personal information. We won't send you marketing emails unless you've agreed to receive them, and you can opt out at any time.
4 Callers to our customers' businesses
When a business uses our AI receptionist, it answers calls from that business's customers. Information from those calls, such as a caller's name, phone number, message, booking details and call summary, is processed on behalf of that business. In this case the business is the data controller and we act as its data processor, following its instructions and our agreement with it.
If you called a business that uses Silk Call AI and have a question about your information, please contact that business first. We'll help them respond.
Call recordings and transcripts: TBC: whether calls are recorded or transcribed, and how long they're kept
5 Who we share it with
We only share personal information with trusted service providers who help us run our business, and only as much as they need:
- FormSubmit (formsubmit.co) processes the book-a-demo form and forwards your details to our inbox.
- Google (Gmail) provides our email.
- Our website host serves this website. TBC: name your hosting provider
- Providers that power the AI receptionist and phone connection. TBC: list your AI, telephony and booking providers
We may also share information if the law requires it, or to protect our rights.
6 International transfers
Some of our service providers may store or process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
7 How long we keep it
We keep personal information only for as long as we need it:
- Demo enquiries that don't become customers: TBC: e.g. 12 months
- Customer records: for as long as you're a customer, then TBC
- Invoices and accounting records: 6 years, as required by UK tax law.
8 How we keep it safe
We use reasonable technical and organisational measures to protect your information, including secure connections and access controls, and we only give access to people who need it.
9 Your rights
Under UK data protection law you have the right to:
